💰 Salary: COP $2,300,000 + Transportation Allowance
🕛 Schedule: Monday to Friday, 12:00 PM – 8:00 PM
About the Role
We're looking for a highly organized and detail-oriented Bilingual Operations & Scheduling Virtual Assistant to support day-to-day operations. This role is ideal for someone who enjoys structure, thrives in fast-paced environments, and can effectively manage multiple priorities while maintaining professional communication with employees and managers.
Responsibilities
Schedule & Shift Coordination
Review daily and upcoming schedules.
Support shift updates, call-outs, and coverage needs.
Coordinate replacement coverage and communicate schedule changes.
Confirm shift details, including time, location, and assigned employee.
Maintain accurate scheduling records.
Operations Support
Follow up on employee availability and attendance.
Send reminders and operational updates.
Maintain spreadsheets, trackers, and operational notes.
Support additional day-to-day administrative tasks.
Connecteam Administration
Review shifts, punches, and attendance information.
Follow up on missing clock-ins and attendance issues.
Update notes and scheduling details.
Flag discrepancies requiring management review.
Communication & Follow-Up
Communicate professionally with employees and managers in both English and Spanish.
Escalate urgent issues such as no-shows, scheduling conflicts, or attendance concerns.
Keep management informed about pending items and completed tasks.
Requirements
✔ Fluent English and Spanish (written and verbal)
✔ Previous experience in administrative support, operations support, scheduling, dispatch, staffing coordination, or similar roles
✔ Strong attention to detail and ability to follow processes
✔ Excellent organizational and follow-up skills
✔ Ability to prioritize urgent matters and manage multiple tasks
✔ Comfortable working with spreadsheets and online systems
✔ Professional written communication skills
Preferred Qualifications
⭐ Experience with Connecteam or similar workforce management systems
⭐ Experience supporting service-based industries such as cleaning, staffing, healthcare, transportation, or field operations
⭐ Experience managing schedules, attendance follow-up, and coverage coordination
⭐ Experience with Google Sheets and Excel
